Use of external calendar data

If you have connected an external calendar (e.g. Google, Exchange, Office365...) to Calenso, or even several, then we can only see the title of the external appointment in the calendar overview in the support case and as soon as "Show appointments in calendar" is active. However, Calenso Support will be the exception. And you can also deny them access to your Calenso account.


If you would like to exclude Calenso from your account in the event of support, please go to Settings/Company Profile in your account:





Scroll down to the bottom and activate the button (don't forget to save):



Please note that we will not be able to access your account and provide assistance if you require support.




When synchronizing between your calendars and Calenso, the following happens:


  1. A customer selects an employee in your booking widget and goes to the next step "Appointments".

  2. In the background, Calenso checks all of the employee's external calendars.

  3. During the check, only the information is transmitted as to whether the time slot is "free" or "busy".

  4. This is followed by a check of the Calenso calendar with the following steps:
    1. Which availabilities are available in Calenso?
    2. Which absences are stored in Calenso?
    3. Subtracting the busy dates in the external calendar results in the free time slots

  5. Free time slots are displayed to your customers when booking. This means that the display of time slots is based on the booking interval stored. You can find out exactly what the booking interval means and how you can set it in the following support article: Define booking interval

  6. Your customer's newly booked appointment is entered in your standard calendar.


It is only the date and time of the start and end times of your appointments that are used to calculate the free time slots. This data is only used for the step of the booking process when customers select the desired appointment time. Calenso then "forgets" this data again.


The same happens when the calendar overview is loaded in the Calenso dashboard. Appointment data (here including the appointment title) is loaded temporarily if, for example, a specific week or day is selected. This happens every time a new period is selected so that the most up-to-date data is always available. This is because your customers' booking process should always use the most up-to-date data from your connected calendars so that new bookings do not collide with recently entered appointments.


Personal data is not viewed by persons during the booking process and is not stored under any circumstances.
