In this article we will explain how to connect Bexio with Calenso and how to further set it up.


Connect Bexio with Calenso


There are basically 2 ways to combine bexio with Calenso:

  1. If a bexio account already exists, Calenso can be added as an add-on in the Marketplace with a single click. The bexio instructions will then guide you through the process.
  2. If there is a Calenso account and a bexio account, they can be linked as follows

Go to "Online payment" in your settings under "Integrations" and then click on "bexio (invoices)". Click on "Connect Bexio".



You must then log in to bexio with your user name and password:



After logging in, Calenso requests access to the data of bexio. If you agree, click on "Allow":



bexio was correctly linked to Calenso. You can now configure your bexio.



Setup Bexio in Calenso




The following basic settings can be configured:

  • Invoices are activated as means of payment for appointments: If this is activated, customers can select "Invoice" as a means of payment in the booking widget at the end of the booking process (if a price has been defined on the service). After the booking, an invoice is generated in bexio.
  • Invoices are activated as means of payment for group appointments: If this is activated, customers can select "Invoice" as a means of payment at the end of the group appointment booking process (if a price has been defined on the group appointment). After the booking, an invoice is generated in bexio.
  • When booking, only synchronize customer data to bexio and do not create invoices: If this is activated, then "invoice" is not offered as a means of payment when booking as a customer. After booking, only the customer is synchronized to bexio. No invoice is generated.
  • Standard VAT account: Here you define the standard VAT account (if you are liable for tax). This account will be linked during the generation of invoices.
  • Standard revenue account: Here you define the revenue account, which is used for the generation of invoices.
  • Standard bank account: Here you define the bank account which is used for generating invoices.
  • VAT setting: Define whether invoices should be generated incl. tax, excl. tax or completely VAT-exempt.

In addition, the template used for generating the invoice title can be configured on this page. To do so, click on "Configure template" at "Invoice title template for ...". The following window will open:



The templates must be defined for the enabled languages (the languages can be set here). Clicking on "{...}" opens a view of all possible placeholders which can be used for the event title. These placeholders are automatically adapted to the customer and the appointment and are therefore dynamic fields. 



Once you are satisfied with the content, click on "Save".
